Customer Database for a Solicitor
This simple customer database was used to “cleanup” data that had been previously collected and which contained many user-created flaws.
Return to List
Displaying all customer details: names, addresses etc. Identifying partnerships and other combinations. and recording the services provided to the customers and identifying the files of documents.
This system was used as a temporary measure to “clean-up” the recorded data before moving it to a new office management system.
One of the most common defects that occurs with the data collected within a database is misspellings. From time to time it is advantageous to carefully analyse the data, and correct the rubbish. Don't forget the GIGO rule! (garbage-in garbage-out!).
Almost all databases need a "spring clean" occasionally in order to identify and repair incorrectly entered data. Things as simple as one customer recorded in the customer list twice (i.e. given two customer numbers) constitutes a defect that needs to be repaired. However repair does not mean finding the duplicated name and deleting one instance. This will generally mean that records attached to the deleted customer name record will become "orphans" i.e. not connected to any customer record.
The best repair method is to identify all duplicates, then identify all records attached to one of the duplicates (say the second) and transfer them to the first. Then, when no other records are associated with the duplicate, the duplicate customer record can be deleted.
If your database files are cluttered with such defects, our experienced staff can clean them and show you how to restructure your database to reduce the occurrence of such defects.
